At BG Cyber Connections, we are committed to delivering high-quality IT solutions, custom development, and professional services. Due to the bespoke nature of our work and the associated costs incurred upfront, we maintain a clear and fair refund policy as outlined below.
By engaging our services, you agree to the terms of this policy.
1. Non-Refundable Deposits
- 50% Deposit Requirement: Certain projects, including but not limited to custom software development, database design, website development, and large-scale infrastructure projects, require a 50% non-refundable deposit before the commencement of work.
- Purpose: This deposit secures your place in our project schedule, covers preliminary administrative costs, and allows us to allocate dedicated resources to your project.
- Cancellation Before Kickoff: If you cancel your project after the deposit has been paid but before we have begun active work, the deposit remains non-refundable.
2. Third-Party Tools & Services
- For projects that require the procurement of third-party tools, software licenses, hosting subscriptions, premium plugins, or external API services, any payments made directly to those third-party vendors on your behalf are strictly non-refundable.
- Once a third-party purchase is completed, BG Cyber Connections cannot reclaim these funds. These costs are passed through to the client and remain the client’s financial responsibility regardless of whether the overall project proceeds to completion or is cancelled.
3. Labour & Time-Based Work
- For services billed on a Time & Materials or Fixed-Fee project basis, any labour hours actually expended up to the date of project cancellation are non-refundable.
- Labour includes, but is not limited to: system analysis, research, coding, design mockups, hardware diagnostics, data migration, testing, and implementation.
- If a project is cancelled mid-stream, you are responsible for payment of all work completed up to the cancellation date. Any remaining balance on the invoice for work already performed must be settled.
4. Retail Products (Hardware & Accessories)
For retail products purchased directly from BG Cyber Connections (e.g., Data Storage Devices, Networking Devices, Smart Devices):
- Change of Mind: We accept returns on unopened, unused retail items within 7 calendar days of purchase, subject to a 15% restocking fee. The customer is responsible for return shipping costs.
- Defective Hardware: If a device is found to be defective upon delivery, we will facilitate a warranty replacement or repair per the manufacturer’s terms. Refunds for defective items are assessed on a case-by-case basis.
- Opened Software: Due to licensing agreements, we cannot accept returns on opened or activated software, subscriptions, or digital licenses.
5. Project Cancellation Procedure
- Written Notice: All cancellations must be submitted in writing (via email) to your designated project manager or our general contact address.
- Settlement of Outstanding Invoices: Upon cancellation, BG Cyber Connections will provide a final invoice detailing:
- The total value of non-refundable deposits paid.
- The total cost of third-party services procured.
- The value of labour hours expended up to the cancellation date.
- Any remaining credit (if applicable) that may be applied to future services.
- Any outstanding balance on the final invoice is due within 14 days of the cancellation date.
6. Exceptions
Refunds are considered only in the rare event that BG Cyber Connections is unable to deliver the core service as agreed upon in the Statement of Work, and the failure is due solely to our gross negligence (not due to client delays, changes in scope, or third-party failures). Any such exception must be approved in writing by a Director of BG Cyber Connections.
7. Acceptance
By proceeding with a service engagement or retail purchase, you acknowledge that you have read, understood, and agreed to this Refund and Cancellation Policy.
